Receivables and payables

Accounts receivable and payable: invoices, payments and dunning under control

We keep track of your outstanding customer and supplier invoices, post payments, send friendly reminders and prepare your payments on time – so your liquidity is right.

Outstanding invoices are tied-up money. When customers pay late or supplier invoices pile up, even a healthy SME comes under pressure. Accounts receivable and payable ensure that you always know who owes you how much and which payments are due. PROFINIO takes this work off your hands – from the incoming invoice to the reminder.

Accounts receivable: from order to incoming payment

Accounts receivable records all amounts owed to you by your customers. Every invoice is posted, every incoming payment matched. This lets you see at any time which invoices are outstanding and how long they have been open.

On request, we create your invoices directly with a QR-bill. We match incoming payments using the reference – and clarify partial payments, differences and credit notes for you.

Dunning: friendly, consistent and documented

A clear dunning process improves payment behaviour without straining customer relationships. Together we define after how many days reminders are sent and from when fees or default interest are charged.

If an invoice remains unpaid despite reminders, we discuss the next steps with you – such as a payment arrangement or initiating debt collection proceedings. The decision remains yours.

  • Payment reminder once the payment term has expired
  • Dunning levels according to your instructions
  • Overview of overdue invoices
  • Preparation of documents for debt collection

Accounts payable: supplier invoices without the pile

Supplier invoices arrive by post, by email or as e-invoices. You forward them to the client portal, and we record, check and post them. We prepare due payments as a payment file for your e-banking – you approve them with a few clicks.

This way you pay neither too early nor too late, take advantage of cash discounts and avoid reminder fees.

Liquidity in view

If you know your outstanding receivables and payables, you can plan your liquidity. Accounts receivable and payable produce a forecast: which payments will come in over the next few weeks, and which will go out? This lets you spot bottlenecks early – for example before the VAT payment or the 13th monthly salary.

Interaction with VAT and the annual accounts

Receivables and payables are closely linked to VAT: if you account on the basis of agreed consideration, the tax is due with the invoice; with consideration received, it is due with the payment. Deducting input tax also requires correct supplier invoices.

For the annual accounts, we value the outstanding receivables and, if necessary, create allowances for doubtful receivables.

Typical problems – and how we solve them

We see these issues in many SMEs:

  • Payments without a reference that nobody can match
  • Invoices issued late or not at all
  • Supplier invoices paid twice
  • Missing invoice details for deducting input tax
  • No overview of overdue receivables

Frequently asked questions

Can you create invoices in our name?

Yes. We create your invoices with a QR-bill according to your instructions and in your layout and, on request, send them directly to your customers.

Who approves payments to suppliers?

Always you. We prepare the payment file; approval in e-banking is done by you or a person you designate.

How does the dunning process work?

According to your instructions: you decide on deadlines, dunning levels and whether fees are charged. We send reminders and inform you about invoices that remain unpaid nonetheless.

Do you also handle debt collection?

We prepare the documents and discuss the next steps with you. Whether and when debt collection proceedings are initiated is your decision.

Do we need specific software for this?

No. You forward supplier invoices to the client portal, and you receive payment files for your e-banking. We take over your existing lists of receivables and payables.

Is this worthwhile for small companies too?

Yes, especially there. If you work in the business yourself, you rarely have time for incoming payments and reminders. Just a few late payments can noticeably strain your liquidity.

Your finances and your administration do not have to be complicated.
